Query Suite – Tutorial 22 – Maintain Favorites

This tutorial assumes you have the knowledge gained from working with the previous tutorials. After this tutorial you will have the ability to Add/Remove/Use Favorites from the Calculated Fields screen, Record Filter screen and Prompts screen.

• Open any existing query – for example “Customer Orders”.
• The logic is identical for the Prompts and Calculated fields screens so this will only be explained once. The procedure for the Filter/Record Selection screen is slightly different, so this will be explained separately.
• Click the “Advise Prompt/Lookup fields” toolbar button as illustrated here:

  

• The Prompted/Lookup/Variable Fields screen should now open as shown below:

  

• In order to create a new prompt into favorites, firstly click the green “plus” button (using the example shown, or your own prompt name and other properties), then click the green “tick” button to save it. Now we have a prompt that we can add to the favorites, as shown in the example below:

  

• Click the button shown with the red outline below to add this prompt to the list of favorites.

  

• Now we will use the favorite just added above. Firstly delete the current prompt by clicking the red “minus” button and then the green “tick” button. The screen will show an empty list of prompts as illustrated below. Click the yellow ‘use favorites’ button as shown with the red rectangle around it:

  

• The list of current favorites will be shown as per the example below:

  

• Clicking the “Use” button will insert the selected favorite as if you had clicked the “Add” button and advised the properties. All you then need to do is click the green “tick” button to save this as a prompt into your current query. If you click the “Remove” button this favorite will be removed from the list – so be sure this is what you wish to do.
• The procedure for creating a favorite “calculated field” is identical to the procedure described above to add a Prompt to the list of favorite prompts, so just follow that instruction after clicking the button shown below:

  

• The procedure for creating a favorite “Filter Expression” is slightly different to the Prompts/Calculated Field screens, in that you have to name the expression using some unique naming convention. Firstly click the button shown below to invoke the Filter Expression screen:

  

• Advise any valid Filter Expression into the Expression area. Once the expression has been advised, click the yellow star with the green plus in it, as shown highlighted below:

  

• You will now be prompted to advise a unique name to store this expression against. Type something that makes sense and click the OK button, as shown in the example here:

  

• Highlight the typed Expression and clear it out so there is nothing there. Now we will use the favorite just added above. Click the yellow star button shown highlighted below:

  

• The list of current favorite expressions will be shown as per the example below:

  

• Clicking the “Use” button will insert the selected favorite at the current cursor position. If you click the “Remove” button this favorite will be removed from the list – so be sure this is what you wish to do.
